We’re excited to share that the Y is transitioning to a new Customer Relationship Management (CRM) system, effective March 2025. This upgrade is part of our commitment to enhancing your experience by improving registration processes and services.

Important CRM System Update – March 11, 2025

We're making progress on our new CRM system! We're currently in the important phase of data entry and verification. While this is taking a bit longer than we hoped, the result will be a more accurate and efficient system for everyone.

We'll be opening online registrations in stages. Please check back regularly for the specific program registration opening dates.

School Age Care Families

Our system migration begins in February 2025, and there will be temporary changes affecting how you manage your School Age Care schedule, payments, and registrations. Please review the key details below to help plan ahead.

What This Means for You

  • System Blackout: February 10–16 – During this time, account updates, program registrations, and payments will be unavailable. However, all locations will remain open, and program policies for changes and cancellations will remain in effect.
  • Child Care Calendar Access – The My Childcare Calendar will not be available after February 9. All schedule changes and cancellations must be submitted through our online webform through the end of the 2024–2025 school year.
  • Payment Processing Delays – Payments scheduled for February 11 and February 18 will not be processed due to the system transition. Payments for care the weeks of February 24, March 3, and March 10 will be processed in multiple transactions after our new system is live. Please plan accordingly.

Key Dates to Know

  • February 3 – Deadline to make changes/cancels for the week of February 17 via My Childcare Calendar or our online webform (by 11:59 PM).
  • February 4 – Automatic EFT payment for the week of February 17.
  • February 9 – Last day to access My Childcare Calendar. We recommend making any schedule changes through the end of the school year by this date.
  • February 10–16 – System Blackout Period – No online account updates, registrations, or payments can be processed.
  • February 10 (by 11:59 PM) – Deadline to request changes/cancels for the week of February 24 via online webform.
  • February 17 – Deadline to request changes/cancels for the week of March 3 via online webform (by 11:59 PM).
  • February 24 – Deadline to request changes/cancels for the week of March 10 via online webform (by 11:59 PM).
  • March 14 - Automatic EFT payment for the weeks of February 24 – March 24.

Early Childhood Learning Center (ECLC) Families

What You Need to Know

  • All program policies for changes and cancellations remain in effect. Requests should continue to go through your site staff per the two-week notification policy.
  • Payment Delays: Payments for care for the weeks of February 17, 24, and March 3 will be processed in multiple transactions after the system goes live.
  • February 4: Automatic EFT payment for the week of February 10.
  • No EFT payments on February 11, 18, or 25 due to system migration. Please plan accordingly.
  • We will notify you in advance of any changes to payment dates or processes.
  • March 14 – Automatic EFT payment for the week of February 17 – March 17

Preschool Families

What You Need to Know

  • Your February payment has already been processed. No additional action is needed at this time.
  • All program policies for changes and cancellations remain in effect. Requests should continue to go through your site staff per the policy in your handbook.
  • March 1-4: We expect to process preschool care payments for March during this timeframe.
  • We will notify you in advance of any changes to payment dates or processes.
  • March 14 – Automatic EFT payment for the month of March

School Release Days & Spring Break Care

Registration is currently unavailable; we will update you as soon as possible once registration is available.


What to Expect Moving Forward

  • Your current registrations and account information (as of February 9) will be transferred to our new system.
  • We will provide step-by-step guidance on setting up your new account as we approach the system launch.
  • We will send regular updates regarding payments and registration availability.
  • Online registration will reopen after March 3. If you need to register for programs between February 17 – March 2, please contact our customer service team or visit the membership services desk at your Y location.
